Every experienced seller has met it: a 900g parcel billed at 1.6kg. Sometimes it's a mis-scan, sometimes a scale that favours the carrier, sometimes a genuine volumetric re-measure. Whatever the cause, the dispute is winnable — but only if your evidence exists before the invoice arrives. This is a process that costs a camera and ten seconds per parcel.
The evidence that settles disputes
The winning unit of evidence is one photo: the packed parcel on a readable scale, with the shipping label (AWB visible) in the same frame. Taken at packing time — before the courier touches it — and filed against the AWB. This is what converts a billing argument into a refund: the carrier's system shows 1.6kg, your photo shows 0.9kg on a calibrated scale with that AWB on the box. There is no rebuttal to a timestamped photo; there are only delays for merchants who don't have one.
Volumetric: audit the dimensions too
Carriers bill the greater of dead weight and volumetric — L×B×H ÷ divisor. If the billed weight exceeds the scale, the cause is usually dimensional. Re-measure the box yourself: a 40×30×25cm carton at divisor 4,500 bills at 6.7kg regardless of contents. The fix is upstream — smaller packaging, custom cartons for your best sellers — and the audit is downstream: match billed volumetric to your box dimensions and flag the deltas where the carrier's tape disagrees with physics.
The monthly rhythm
Reconcile billed vs measured weight carrier-by-carrier, monthly, inside the dispute window. The pattern tells you which carrier's hub needs pressure — and a written complaint with photo evidence gets a different conversation than a phone grumble. Recovered amounts are usually small per line, but the deterrent is large: carriers bill carefully the accounts that measure.
The carrier's scale is always right — right up until your photo proves otherwise.
The bottom line
Weight disputes are the most winnable money in courier invoicing, and the cost of winning them is a photo you should be taking anyway. Pack, weigh, photograph, file — then reconcile monthly and dispute inside the window. The carriers learn fast which accounts to bill honestly.
